Our Privacy Policy

Overview:

The Scottish Secular Society is a campaigning organisation and community group dedicated to discussing the issues around and promote secularism.

The Scottish Secular Society (SSS) is a data controller as defined by the revised General Data Protection Regulations (GDPR) 2018 and the Data Protection Act 1998. The following will set out what data that we hold on you, what rights your have over that data, and how we use it as a society.

The data that we hold is on members and newsletter subscribers. It is used to process memberships and digital financial transactions, for the purposes of internal monitoring and occasionally, research when further consent would be sought. Email addresses are used to send newsletters to subscribers and for communications. No contact details are ever shared with a third party, and no financial details are retained but may be processed.

/ Data Collection

We may collect information about you when you interact with us in person or online. This is usually the case when you sign up to be a member or to the newsletter, or make a donation.

For members we collect data on when you visit and how you interact with our website, such as when you sign in or make a blog post.

Our policy is to hold the minimal amount of data possible that allows us to keep in contact with you and provide you with information.

The data we process may include:

We store details of payments regarding when they were made, and who by, so that we can process items like memberships accurately. We never in any circumstance retain credit or debit card data.

The only sensitive data that we retain includes the those with an asterix above, whilst the rest are retained by third parties such as Paypal.

/ Data Security

Only authorised individuals on the board can assess you data; there are no third parties and; in the event of a breach we will comply with the requirement to inform you within 72 hours.

We may share financial details with a third party, such as PayPal, to process financial transactions but we do not retain this data and have no continual access to it.

/ Data usage and Communication

We use what data we hold to keep in contact with you, to invite you to our events, campaigns and keep you up to date with our work. It is also used to identify your membership and process financial transactions.

In the interests of financial accountability we are obliged to hold records of financial transactions.

/ Data Rights

Upon request we can provide you with copies of your information that we retain. It is your right, and we would encourage you, to request any corrections to your data.

We will only contact you with your continued consent to do so and will remove contact information at your request.

What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

Analytics

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Visitor comments may be checked through an automated spam detection service.
